Privacy policy

This policy explains what Community Media collects about you, what we do with it, and what control you have over it. Community Media is published by Hunt Ventures, Inc., a Florida corporation, and this policy covers 4communitymedia.com and the services we operate from it.
We are a community newsletter publisher. We collect information to sell and produce advertising, print and deliver newsletters, and answer the people who contact us. We do not sell information about you, and we do not run an advertising network or a data brokerage.
1. Information we collect
Information you give us
When you fill in a form, sign an agreement, pay an invoice, or contact us, we may collect:
- Your name, and the name of the business or community you represent
- Email address
- Telephone and mobile numbers, and whether you have consented to receive text messages
- Mailing and billing address
- The content of your enquiry, and of emails and text messages you send us
- Advertising artwork and copy you supply for publication
- Payment details — handled by Stripe, our payment processor. We never see or store your full card number; our records hold only the last four digits, the card brand, and a token reference.
Information collected automatically
Our web server and analytics record your IP address, browser type and version, the pages you visit, the time and date of the visit, and the site that referred you. We use Google Analytics for this. We use cookies to keep you signed in where a page needs it and to measure traffic; you can refuse cookies in your browser, though some pages will stop working properly.
Information from our own records
If you are an advertiser or a community we publish for, we hold your account history — agreements, invoices, payments, ad proofs, delivery records and notes from conversations with our staff.
2. How we use your information
- To prepare and send quotes, rate sheets and advertising agreements
- To produce, proof and publish your advertising
- To invoice you, take payment, and follow up on unpaid balances
- To notify you about proofs awaiting approval, renewals, print dates and deliveries
- To answer questions you send us by phone, email, text message or web chat
- To keep our own business records, and to meet our tax and accounting obligations
- To operate and improve this website
3. Text messaging
If you give us a mobile number and tick the consent box on one of our forms — or if you text us first — we may send you text messages from Community Media about your account with us: quotes and rate sheets, ad proofs and approvals, renewal offers, invoices and payment reminders, delivery notices, and replies to questions you send us.
Consent is never a condition of buying anything from us. Ticking the box is optional, and every form works whether you tick it or not.
Message frequency varies with your account activity. Message and data rates may apply depending on your mobile carrier; we do not charge for these messages.
Reply STOP to any message to stop receiving text messages from us. You will receive one confirmation, and nothing further. Reply START to opt back in, or HELP for help. We record the date and time consent was given, and we honour a STOP permanently unless you opt back in yourself.
We use Flowroute as our messaging carrier, solely to deliver these messages on our behalf. They may not use your number for any purpose of their own.
No phone/mobile number information will be shared with third parties/affiliates for marketing/promotional purposes. All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
4. What we never do
We do not sell, rent, trade or otherwise disclose your personally identifiable information to third parties for their own marketing or promotional purposes. We are not a lead generator and we do not participate in affiliate marketing. Your text-messaging consent and opt-in data are never shared with anyone, for any purpose.
5. Who we share information with
We share information only with the service providers who make our business run, and only as far as each one needs to do its job:
- Stripe — card and bank payment processing
- Intuit QuickBooks Online — our accounting records
- Flowroute — text message delivery
- Microsoft 365 — our email and document storage
- Google Analytics — website traffic measurement
- United Parcel Service and our delivery contractors — where a shipment or a delivery address is involved
We may also disclose information where the law requires it, in response to a valid legal process, or where necessary to protect our rights or someone's safety.
6. Publication
Advertising you buy from us is published — that is the point of it. Anything you supply for publication, including your business name, address, phone number, website and artwork, appears in the printed newsletter and in the digital editions we host online. Please do not send us anything through an advertising form that you do not want printed.
7. How long we keep information
We keep advertiser and community account records for as long as the relationship lasts and for seven years afterwards, which is what our accounting and tax obligations require. Text-messaging consent and opt-out records are kept indefinitely, because we need them to prove that we honoured your choice. Website analytics data is retained for 14 months.
8. How we protect information
Traffic to this site is encrypted with TLS. Our administrative system is password-protected and limited to employees and authorised contractors who need it for their work. Card numbers never touch our servers. No system is perfectly secure, and we cannot guarantee absolute security, but we take reasonable measures appropriate to the information we hold.
9. Your choices
- Text messages — reply STOP to any message, or ask us and we will opt you out.
- Email — use the unsubscribe link, or ask us.
- Access, correction or deletion — email or call us using the details below and tell us what you want changed or removed. We will act on it, except where we are required to keep a record for accounting, tax or legal reasons — and we will tell you if that is the case.
- Cookies and analytics — refuse cookies in your browser settings, or install Google's opt-out add-on.
10. Children
This site and our services are intended for adults doing business with us. We do not knowingly collect information from anyone under 13. If you believe we have, contact us and we will delete it.
11. Changes to this policy
If we change this policy we will post the revised version here and update the date at the top. Material changes to how we handle text messaging will be reflected here before they take effect.
